Tips
Visibility on campus
Visibility of the company and its opportunities has
a significant impact on recruiting success. There
are several ways to help students become aware of
your company and its opportunities:
Ads
Ads are often placed in CRC publications, recruiting
publications like the Collegiate Recruiter, or local
papers like The Independent Florida Alligator (student
paper) or the Gainesville Sun. For more information

Receptions / Information Sessions
Reasons to do a Reception / Information session:
(1) Increase company visibility on campus
(2) Increase student knowledge regarding company
/ openings
(3) Answer student questions
(4) Cover information which would otherwise take
up interview time
(5) Talk to students unable to sign up and "pencil
in" additional interviews if desired.
When to hold these sessions: These sessions
are most often run in conjunction with an on-campus
date, and the vast majority occur the evening before
the first interview date. They are typically scheduled
at a room in the J. Wayne Reitz Union from 6-8 or
7-9 pm. Food and presentation equipment are available
from the Reitz Union (there are charges for catering
and equipment rental fees).
How to set up a reception / information session:
When supplying the schedule information to the CRC
Company Contact, indicate that a session
will be held. Indicate how many people you expect
to attend. The CRC Company Contact will arrange
for a room and call or fax the information to you.
The company representative can then call the Reitz
Union reservations group at (353) 392-1645 to arrange
for food and/or any equipment to be used.
Schedule Types
"Room Only" or "Open House"
schedule
A "Room Only" or "Open House" schedule
is self-descriptive. The CRC provides a room or rooms;
places a brief a announcement of where and when using
Gator CareerLink; the company care of the rest.
In order to accurately reflect recruiting activity and
provide follow-up assistance, the CRC asks the employer
to supply an attendance list. Please include student
name, major, graduation date and local phone number.
Advantages of "Room Only" or "Open House"
schedule
This schedule minimizes "overhead" associated
with scheduling. Allows a "come-as-you-are"
atmosphere. Allows maximum flexibility to employers
regarding how to invite students.
Disadvantages of this type of schedule
Lease selective schedule with respect to population
that will show for the interview. May see many studens
with fewer moving on to second interviews unless some
method of pre-contact is used (GatorLocator, student
group meeting, etc.).
Invitation Only
Students are contacted directly by the company and interview
times are set directly with the student. The Career
Resource Center merely reserves the necessary interview
room(s). On the morning of the interviews, the recruiter
drops off a copy of the schedule (appointment times)
during check-in at the Employer Reception desk. Room
locations and a list of appointment times are then posted
at the entrance to the Career Resource Center. Should
any changes / additions occur during the day, the recruiter
should provide a copy of the final schedule during check
out at the Employer Reception desk (this step is very
important to avoid confusion during after interview
follow up activity).
Advantages of the "Invitation Only" Schedule:
This type of schedule can be set up quickly and the
company has a definitive list of students who have
decided to interview well in advance of the interview
date. It also offers a "phone screen" that other types
of schedules do not. The employer can quickly make
adjustments directly with the candidates. Many Invitation
Only schedules are run in conjunction with a Career
Fair. Rooms are reserved in advance and interviews
are arranged and carried out within one to two days
of the Career fair.
Disadvantages of this schedule: This schedule
demands the most pre-interview activity on the part
of the company. The Career Resource Center has minimal
or no visibility of the employer's schedule until
the day of the schedule.
Pre-select -FCFS (first come
- first served)
In this schedule the company "preselects" a pool of
students they wish to interview. Should they choose
to interview with the company, the preselected students
sign up on a first come - first served basis. These
schedules automatically "open" to all students meeting
the employer established schedule criteria on the Monday
of the week prior to the on campus interview date (unless
otherwise specified by the company).
Advantages of this Schedule: Companies are
able to review student resumes in advance and select
the candidates they feel are the best match for their
openings. For Co-op and Internship openings, a resume
collection schedule run in advance of the actual interview
schedule, can assure that only students expressing
interest in that company are considered.
Disadvantages of this schedule: Because it
is difficult to establish criteria for any schedule,
many excellent candidates are overlooked. For full-time
positions, student interest in the company is not
a factor in the preselection process (except via Career
Showcase resumes). Motivated candidates are often
overlooked unless some portion of a company's schedules
are "open". Companies will often discover excellent
candidates from the pool of candidates that express
specific interest in their company. For this reason,
the CRC recommends that some portion of a company's
schedule(s) allow "open" sign-up.
Identification of Interview
Candidates (Preselects): Identification of the
pre-selects is usually accomplished by receiving resumes
from a career fair (such as Career Showcase), or running
a resume collection schedule (Co-op and Internship
schedules).
Preselect Lists: Two
key activities must occur to maximize the recruiter's
chances of interviewing preselected students:
- (1) The company contacts the students directly
by either phone or letter, indicating a desire to
interview them.
- (2) A preselect list is an alphabetized list of
potential interviewees prepared by the company.
It should contain:
- Last name, First name and Local phone
number.
The pre-select list is faxed to the CRC Company Contact
who will enable sign-up access for the pre-selected
students. Students then select from available interview
dates and times on a first-come, first-served basis.
Open
Any candidate matching the company established criteria
(Citizenship, Grad Date, Major, Type of position (full-time,
co-op, intern...), degree level or status (recent grad,
alumni,...) will be allowed the ability to sign up for
an interview.
Advantages of this type of schedule: All
students expressing an interest in a company that
meet the criteria set by the company can sign up.
This schedule allows student interest/choice in a
company to become a stronger factor in the applicant
pool. This schedule has the highest probability of
filling all available interview time slots.
Disadvantages of this schedule: This schedule
offers minimal pre-interview screening by the employer.
Resume Collection
A condensed version of the position announcement is
posted to the on-campus interview scheduling system
and students who match the criteria set by the company
can request to have their resume sent to the company.
An "Invitation Only" or "Preselect" schedule is usually
set up in conjunction with this schedule to accomplish
the actual interviews.
Advantages of this Schedule: The resumes
received are from students interested in the company.
The company can be assured that the students submitting
resumes have met the criteria set by the company.
Disadvantages of this Schedule: Viable candidates
may not apply to a particular company because they
either lack information regarding the company or have
misconceptions regarding the company and its opportunities.
This is an "identification" activity. An additional
schedule is required to actually interview the students.
Checklist For Employers
Preparing for On-campus Interviews
- Have one person handle all contact with the CRC
regarding campus activities. This will allow the
company's recruiting efforts to be well coordinated,
so the CRC does not receive contradictory requests
from different people/offices within your company.
- Familiarize yourself with all of the academic
programs at UF which qualify for the positions to
be filled.
- Realistically assess what the CRC can do for you.
- Assess and assure high quality interviewers and
recruiters.
- Target appropriate academic departments, faculty,
student organizations, and campus offices with which
to work.
- Let the CRC know about significant changes in
your company's staffing, recruiting procedures,
hiring needs, etc.
- Make sure you have completed all the information
on the On-Campus Interview Schedule Guide and returned
it to the CRC within the requested time frame.
- Do respond to all student letters requesting information
and interviews. Form letters are okay, but please
respond promptly to their requests.
- If you send pre-select interview letters, ensure
that your letters reach the students prior to the
deadline required for the students to schedule an
interview. Also, be sure the CRC receives your list
of preselect invitees prior to the date listed in
the Critical Dates Chart.
- Volunteer, whenever possible, to participate in
career programs, seminars, and panels sponsored
by the CRC. Inform the CRC if you intend to be on
campus for other purposes (faculty contacts, presentations,
receptions, etc.). Invite relevant CRC staff and
faculty to your presentations and receptions.
- Be sure you send updated corporate literature,
annual reports, job descriptions, etc. at least
three (3) weeks prior to the interview visit.
- Please call and check your interview schedule
at least five working days prior to your interview
date. You may do so via the Front Desk.
During the Recruiting Visit
- Check-in. Each recruiter should report
to the CRC at least 30 minutes prior to the first
scheduled appointment. Remember to bring Business
Cards.
- Parking pass. Are you legally parked -
with a proper parking pass? Passes are available
at campus information booths or the employer reception
desk in the CRC. The university is very efficient
at ticketing improperly parked vehicles! The CRC
is not responsible for tickets received on campus.
- Interview recap sheet (in recruiter's packet).
Please complete and return to the CRC at the end
of the Recruiting day.
- "No-Shows". Please identify students on
the recap sheet who do not show up for scheduled
appointments.
- Transcript request ( in recruiter's packet).
Get student signature and turn in at the end of
the day if transcripts are needed.
- Luncheon arrangements. Provided in recruiting
packet, if requested in advance.
- Company literature/audio-visuals. Please
check while on campus to see if literature in our
library is up-to-date.
- Next recruiting visit. Please confirm or
reserve future recruiting dates before leaving campus.
After the Recruiting Visit
- Respond to all students interviewed within time
frame stated at the close of the interview.
- After your recruiting season, provide the CRC
with data on final offers and acceptances with position,
location and starting salary.
