Professional Conduct Policy
As a member of the National Association of Colleges and Employers (NACE), we abide by the guidelines of professional standards and ethics outlined by NACE.
The University of Florida (UF) expects our students and alumni to adhere to the high level of professional conduct when participating in on-campus interviewing activities. Students are held accountable for inappropriate or unethical behavior.
We also expect that employers participating in on-campus interviewing activities at UF abide by the same legal and ethical principles. We encourage all employers to use the Principles for Professional Conduct (NACE) as a guide.
Job Posting Policy
All postings must contain accurate information concerning the position(s) being advertised. We reserve the right to deny the approval of job postings that are proven to be fraudulent or misleading in their description to potential candidates.
We also reserve the right to decline postings that require a financial investment by candidates, or positions that may involve unreasonable risks or postings for positions that conflict with the NACE Principles of Professional Conduct.
All job postings will be reviewed one of our staff members and approved within 48 hours of being submitted by the employer.
The following conditions apply to posting a job on Gator CareerLink (GCL) database:
- All organizations must agree to all EEO / Affirmative Action requirements and guidelines
- No fees of any kind will be charged to students or alumni
- GCL will not be used to solicit business of any kind
- No job posting will be allowed by Third Party Recruiters representing organizations that have not already completed the necessary Third Party Recruiter forms
Employers must provide their pre-select list to the Career Resource Center a minimum of 3 days (72 hrs) prior to the closing of the OCR schedule. Pre-Selects that are not submitted within that time frame, the employer must Self-Schedule their interviews for that OCR schedule
Adding students to OCI Schedules
Employers who wish to add students who do not meet the screening criteria for posted jobs to their applicant pools must submit the request in writing to the CRC.
Please send these requests to the Gator CareerLink Helpdesk at email@example.com. Please provide the job ID# and student name and UF ID (if possible) in the request.
For pre-select schedules, the CRC staff will add the student as "pending", and the employer may then choose whether or not to invite the student for an interview. The CRC will communicate this action to the student.
Requesting OCI Schedules with Multiple Job Postings
Employers who wish to set up OCI schedules with multiple job postings must follow the following procedure:
1. Request one schedule in GCL. Include the number of rooms that you would like in that request.
2. If you are recruiting for several different position types (part-time, full-time, etc.) use the "control button" to select all of the types of positions for which you will be recruiting.
3. Attach all jobs to that schedule
4. Do not assign rooms to the schedule.
5. At least 72 hours prior to the close of the posting and via email to PhyllisPena@crc.ufl.edu, provide detailed instructions about how you would like your schedule set up (How many schedules you ultimately want, how many rooms, which jobs assigned to which rooms, length of interviews) and our Employer Services Coordinator will set up the multiple schedules for you.
Third-Party Recruiters Policy (Staff Agencies)
Third Party Recruiting Agencies wishing to list positions with the University of Florida must adhere to the following:
Completed Third Party Recruiter documents must be returned to the Career Resource Center within two weeks of the employer receiving the documents. If the documents are not returned in the time frame specified, the Career Resource Center reserves the right to deny a job posting and career fair registration.
For job postings, Third Parties must complete our outlined Third Party Recruiter documents for verification of use of this service.
For Career Fairs, we require Third Party Recruiters are required to complete our official Third Party Recruiter Forms in order to use Career Resource Center's services. Third-party recruiters are only permitted to attend career events for the purpose of filling position vacancies within their own organizations. Third-party recruiters must submit their specific job vacancies along with event registration in order to be approved to attend any event.
Third Party Recruiters are not granted access to resume books.
Room Reservation Only Interviewing Policy
This interview option is available to employers that schedule on-campus interviews directly with candidates while using our facility.
- All organizations must comply with all EEO / Affirmative Action guidelines and requirements
- Interviews begin at 8:30 a.m. and the last interview of the day ends at 5:00 p.m.
- A copy of the employer interview schedule must be provided to the CRC prior to the employer's interview day
- Only UF students and alumni will be interviewed
Cancelling / Rescheduling On-Campus Interviews Policy
We require a minimum of 48 hours notice of cancelling/rescheduling of an on-campus interview. If an interview is cancelled due to poor planning or inadequate follow through on the recruiter's part, the recruiter will be required to contact us and all scheduled candidates in order to inform them of the situation.
Missed Interview Policy
We have a strict policy for candidates that do not show up for their scheduled interview. Employers can mark a candidate as a "no-show" if the candidate has not cancelled with the employer within the allotted amount of time (48 hours). Candidates that are marked as a "no-show" will be blocked from using GCL until they submit a letter of apology to the employer with whom they missed the interview.
Alternative Interviewing (Online & Phone Interviews)
We provide alternative means for employers and students to engage during recruiting seasons.
Students who are unable to physical be present during a scheduled on campus interview are able to request an alternative arrangement for interviewing with an employer. The employer can then determine whether they will permit alternate interviewing arrangements.
Students must contact us as soon as they secure an interview and realize they will not be able to physically be present for the on campus interview. We require at least five business days for students to submit their written request for alternative on campus interviewing arrangements to be confirmed. The student's written alternative interview request must include the details of their interview and their recommended alternative method to conduct the interview (i.e., phone, Skype, etc.). We will contact the employer and relay the employer's decision. We cannot guarantee that a student will be able to exchange an on-campus interview for an alternative interviewing method.
Job Offer Policy
UF students are informed when they begin the job search process that they should stop the job search process after they accept a position with an organization.
We ask that you contact us at (352) 273-2300 to inform us if a student turns down a job offer after accepting it. Students who engage in this behavior will be blocked from using GCL for two years. Additionally, students will be required to meet with one of our staff members and submit a letter of apology to reported organizations.
As a result, we ask that you grant UF students the same courtesy and not withdraw job offers that have been accepted by candidates. Though economic challenges may require difficult decisions, we invite you to contact us first so that we can work on an alternative plan to minimize the impact on UF students.
Job Offer Deadline Policy
To offer students adequate time to carefully consider their employment options and to make an informed decision, we ask that employers adhere to the Job Offer Deadline established by the National Association of Colleges and Employers (NACE).
We want you to hire the best candidates and for our students to obtain the best opportunity for them. For these reasons, our Job Offer Policy is as follows:
- For Fall Semester recruiting the offer should be extended until November 1, or the student should be provided with at least three weeks from the date of offer to either accept or decline.
- For Spring Semester recruiting the offer should be extended until April 1, or the student should be provided with at least three weeks from the date of the offer to either accept or decline.
Exploding Offers Policy
We do not endorse the practice of "Exploding Offers".
- When employers require candidates to accept an offer within a very short time frame.
- When employers extend more offers than openings available and tell all students that offers will be accepted on a first-come, first-serve basis.
We ask that organizations do not put undue pressure on candidates to make quick decisions about their offers. The response time needed to evaluate the offer will vary depending upon the point in the recruiting cycle that the employer extends the offer, the graduation date of the candidate, their planned target date for a final decision and other potential student needs.
The extension of a job offer is a major commitment between the employer and candidate; an employer should only make this type of commitment if they intend to honor it.
Reneging on job offer acceptances can severely damage your reputation as a viable employer, for not only the short-term, but potentially during the duration of your presence at the University of Florida. To avoid a reneging situation, we advise all employers to carefully plan and manage your entire job hiring process.
Employers that renege on job offers will be contacted by one of our senior staff members to discuss the consequences of reneging on a job offer for the candidate(s) involved and the employer's reputation on campus.
Information Session Reservation Policy
Employers are allotted a maximum of nine room reservations per semester for recruiting activities with no more than three information sessions per week.
This policy applies to reservations in both the CRC and Reitz Union rooms. The reservation period begins after the first day of classes for each semester and concludes the last day of classes for each semester. Reservations are not permitted during school breaks (i.e., holidays or Spring Break) or finals week.
Information Sessions held in the CRC
You must submit cancellations of all information sessions in writing.
Information Sessions held in the CRC are restricted to 3 hour time blocks. Employers that request an Information Session for more than 3 hours will incur an additional session's fee.
Employers' are allotted one additional hour (30 minutes for set-up & 30 minutes for networking/clean-up) for their Information Session. At the conclusion of their hour allotment, the employer will be charged an additional $20.00 per 30 minutes that the Information Session goes over.
Information Sessions (held in the CRC) Cancellation Policy
You must submit cancellations of all information sessions in writing.
Cancelations must be made by 12:00 noon the day before the Information Session (e.g., 12:00 noon on Friday for Information Sessions on Monday). If you are hosting an information session within the CRC or an academic classroom please send all email cancellations to firstname.lastname@example.org. If you are hosting an information session within the Reitz Union please send all email cancellations to Regina Williams at email@example.com.
If you do not cancel your information session prior to the deadline, the first offense will result in a warning email, while the second offense will result in a cancelation fee of $35.00.
We provide two options for employer wishing to access our Resume Book service
- Register for an upcoming Career Showcase (registration fee per table)
- Purchase Resume Books for a fee of $1,500
Access is provided for one semester. Employer access will begin once your Career Showcase registration has been confirmed or your purchase of Resume Books is complete. Access will expire on the final day of classes, each semester. For more information, please contact PhyllisPena@crc.ufl.edu.
Cancellations & Refunds Policy (all services)
The CRC sets cancellation deadlines for each event and/or services requiring a fee. These deadlines, as well as the registration process for each, can be found on our website.
Cancellations received by the deadline date will receive a full refund. All cancellations must be submitted in writing via email to the appropriate staff person. No cancellations will be accepted over the phone or after a cancellation deadline.
No Show Policy without Cancellation
Registered organizations that fail to properly cancel their registration for CRC services and 'no-show' the day of the event will be charged the full event service fee.
Cyber Disclosure Policy
The National Association of Colleges and Employers (NACE) has reported that a significant percentage of employers are using social networking sites such as Facebook, Twitter and MySpace to screen potential candidates.
We discourage this practice. As an employer participating in recruiting events, we expect employers to provide a clear explanation of your company's selection process to potential candidates. If you consider the content of a Facebook, Twitter or MySpace profile in evaluating a potential employee, we request that you state this in your job description posting and/or communicate this to candidates before participating in any recruiting events.
Employers and individuals offering employment / entrepreneurial opportunities must pay a base salary equal to or greater than the federal minimum wage and comply with federal, state and local regulations.
Upfront Product Purchase Policy
Employers and individuals offering employment / entrepreneurial opportunities with compensations packages requiring commission only or requiring prospective employees to purchase products or services upfront are not permitted to recruit on campus or attend career fairs.
"Pyramid" or "Multi-Level" Employers Policy
Employers and individuals offering employment / entrepreneurial opportunities based on a "pyramid" or "multi-level" type of networking structure requiring or encouraging the recruitment of others who recruit others to sell products and services are not be permitted to recruit on campus or attend career fairs.
Application Fees for Candidates Policy
Recruitment for positions requiring monetary outlay by candidates for equipment, training or application procedures is strongly discouraged.
If fees are involved, this information must be explicitly included in the position description. The required information includes fees for certain federal and state licensing requirements (i.e., real estate, securities, etc.). We reserve the right to remove/deny positions that do not conform to these guidelines.
Amendments to Service Requests & Registrations Policy
All changes regarding event registrations and service requests must be submitted via email to the appropriate staff person. No verbal requests for changes will be accepted.
Outstanding Payment Policy
Outstanding unpaid bills from previous events and other recruiting services will prevent employers from use of our other services in the future, including registering for an upcoming career event.
